VozClara ("we", "our", "us") operates voice transcription services via Telegram and WhatsApp bots. This Privacy Policy explains how we collect, use, and protect your information.
1. Information We Collect
Account Information: When you use VozClara, we collect your platform user ID (Telegram ID or WhatsApp phone number), display name, and username. This is required to provide the service and track usage limits.
Audio Data: We temporarily receive audio files (voice notes, audio messages) that you send to our bot for transcription. Audio files are processed in real-time and immediately deleted after transcription. We do not store, archive, or retain any audio recordings.
Transcription Data: The text output of transcriptions is delivered to you and not stored on our servers. For Business tier users who use the CRM (Chatwoot) integration, transcriptions are stored within their dedicated CRM workspace as configured by the user.
Usage Data: We track transcription counts, audio minutes consumed, and subscription tier for billing and rate-limiting purposes.
2. How We Use Your Information
- To provide voice-to-text transcription services
- To enforce usage limits based on your subscription tier
- To process payments and manage subscriptions
- To send service-related notifications (usage warnings, plan changes)
- To improve our service quality and reliability
3. Third-Party Services
We use the following third-party services to operate VozClara:
- Groq — AI speech-to-text processing (Whisper model). Audio is sent to Groq's API for transcription and is subject to Groq's Privacy Policy. Groq does not use customer data for model training.
- Telegram / Meta (WhatsApp) — Messaging platforms through which you interact with VozClara. Subject to their respective privacy policies.
- Stripe — Payment processing for paid subscriptions. We do not store credit card information; all payment data is handled by Stripe.
- Supabase — Database hosting for user accounts and usage tracking.
- Chatwoot — CRM platform for Business tier users only.
4. Data Retention
- Audio files: Deleted immediately after transcription (typically within seconds). Never stored.
- Account data: Retained while your account is active. Deleted within 30 days of account deletion request.
- Usage statistics: Retained for billing purposes. Anonymized after 12 months.
- CRM data (Business tier): Retained within your Chatwoot workspace until you delete it or cancel your subscription.
5. Data Security
We implement industry-standard security measures including encrypted connections (TLS/SSL), secure API authentication, and access controls. However, no system is 100% secure, and we cannot guarantee absolute security.
6. Your Rights
You have the right to:
- Access your personal data — send /plan to the bot to see your account info
- Delete your account — contact us to request full account deletion
- Export your data — available for Pro and Business tier users
- Opt out — stop using the service at any time; no data is retained after deletion
7. Group Chat Privacy
When VozClara is used in group chats:
- Voice notes sent in groups may be transcribed and the transcription shared in the group (default) or sent privately, based on user settings
- All group members can see transcriptions posted in the group
- Users can configure delivery to "private" mode via
/settings delivery private to receive transcriptions as direct messages only
- We recommend informing group members that VozClara is active in the group
8. Children's Privacy
VozClara is not intended for users under 13 years of age. We do not knowingly collect information from children.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify users of significant changes via the bot. Continued use of VozClara after changes constitutes acceptance.
